The manager line

What can I do by calling?

Anything you could do at the keyboard. Call your line and say it — add Marco to Saturday's close, move Jess to the open, cancel Tuesday's mid, ask what's still uncovered this weekend, put a new hire on the roster. Covered AI checks every change against your rules before it lands, confirms the people affected, and writes it all to the ledger.

Where's the number?

On your Covered panel the minute you're signed in — every workspace gets its own line, and it's the same number your team already texts. We keep it out of the public site so your line stays yours.

Can I text instead?

Same number, same brain. A conversation that starts as a text can finish as a call and nothing is lost in between. Managers text the line the way their teams do — it knows who you are from your number.

When does it answer?

Always. The line is staffed by the system itself, so 2 a.m. on a holiday works exactly like 2 p.m. on a Tuesday.

Your own AI

Can I manage shifts from ChatGPT or Claude?

Yes. Covered AI ships an MCP server — MCP is the open standard that lets AI assistants use tools — so ChatGPT, Claude, Cursor, or anything else that speaks it can read your board and run your schedule. Ask your own assistant "who's on tonight?" or "move Jess to the open and cover Saturday" and it happens in Covered AI, with the receipts to prove it.

How do I connect it?

Your workspace's MCP link is in the app, right next to your line. Paste it into your assistant's connectors and you're done — nothing to install, nothing to build.

Is it safe to let my assistant make changes?

It gets exactly your manager permissions, nothing more, and it goes through the same brain as every other door — deterministic checks clear each change, destructive ones are restated for your yes first, and everything lands in the ledger. Your team gets the same right texts they always would.

Getting set up

How do I put my schedule in?

A calendar feed, a forwarded email, a spreadsheet, or a photo of the whiteboard — whatever you've got. Covered AI reads it, shows you what it understood, and goes live when you approve. About a minute, no integration project.

What happens when I go live?

Each person on your roster gets one clear intro text explaining who's texting and why. Replying YES is their opt-in; anyone can text STOP at any time and it's honored instantly. Nobody downloads anything.

Your team's side

What does my team see?

Ordinary texts, and the odd phone call — confirmations the day before a shift, a check-in if something looks off, an offer when hours open up. Quiet hours are respected on everything Covered AI initiates; if someone texts in at midnight, it answers, because they chose the hour.

What if someone wants out?

STOP works instantly and always, HELP explains, and consent is checked before every send. Compliance is built in, not billed for.

Time & attendance

How do I turn the clock on?

Settings → Check-ins and breaks. It's a workspace switch, off by default — leave it off and Covered AI runs coverage exactly as before. Turn it on and the next shift starts asking: reply IN when you're in the door, OUT when you leave. The reply is the punch. There's a full tour on the time & attendance page.

How does verification work?

Four levels, set per location: honor (the reply is enough), a daily four-digit code ("IN 4821" — ask the line for today's code anytime), a location check, or a photo check-in — one tap on a link, no app. Verification never blocks a punch: a wrong code or a denied permission still records the clock-in, marked unverified for you to see. Check-in photos stay on the timesheet for the window you choose, then purge automatically.

What about breaks and missed punches?

BREAK and BACK work live, or the clock-out just asks how many minutes — paid or unpaid is a per-location setting. No reply by end of shift and the clock closes at the scheduled time, flagged; fixing it is one text, from them or from you ("Dani actually left at 3:30 Tuesday"). Every fix keeps its receipt — who changed what, from what, to what.

Where do the hours go?

Timesheets in the console — the week person by person, flags in the open, approve and export as CSV for whatever runs your payroll. Below the sheet, the change report reads the week's whole story — callouts, swaps, moves, fills — in plain lines with its own CSV, and "what changed last week?" gets the same report at any door.

Hiring

How does a search start?

Two ways. Covered AI notices a gap pattern worth a real hire — the same Friday shortfall going to overtime week after week — and asks first. Or you just say it at any door: "post a job for two line cooks, full time." Either way, you review the posting before it goes anywhere.

Where do jobs get posted?

Publish once and it syndicates in one motion — the major job boards, the Qwick marketplace (people who've already worked your shifts see it first), a text-to-apply keyword on your own line, and a printable QR poster for the window.

Do candidates know they're talking to an AI?

Yes — it says so in the first message, and on calls. Every applicant for a role gets the same structured screening questions, every pass is a kind text rather than silence, a full record is kept, and anyone who prefers a human channel gets one.

Who decides?

You do. Covered AI surfaces candidates who clear your bar, parks the rest with a reason, and proposes interview times that fit your actual board. Offers and passes fire only on your yes — and "hire Rosa, $17, start Friday" is the whole workflow: her YES puts her on the roster with her first shifts drafted.

Credits & billing

How does pricing work?

Every action Covered AI takes burns credits — a confirmation is one, catching a callout is three, the save itself is ten. Starter includes 250 credits free every month; paid packs start at $19. The whole price list is on the pricing page.

What if a shift doesn't get filled?

The coverage credits for that gap come back. You pay for coverage, not attempts.

Under the hood

How does it know what to do?

Covered AI was trained on 200M+ real interactions around shift and hourly work — offers, confirmations, callouts, pickups — from the Qwick marketplace. On top of that it learns your team's own patterns inside your workspace: who trades away Sundays, who picks up closes. What it learns about your people stays yours; it never trains anyone else's Covered AI.

Can it change things without asking?

It acts autonomously inside the rules you set, and every action passes deterministic checks — no overlaps, no one outside their hours, nothing against your policies. Every change is receipted in the ledger, so you can always see exactly what happened and why.
